Position Summary:
ErinoakKids is looking for an organized and motivated individual to join our Health Records team. The Health Information Management Coordinator plays a vital role in maintaining the integrity, confidentiality and accessibility of patient health information in accordance with both internal policies and procedures, and legislative requirements.  The position is responsible for the daily management of the patient record including Release of Information, scanning, chart audits and enrollment to the ErinoakKids Connect Portal. This position supports the organization’s commitment to family-centered care for the children and families we serve.

Key Responsibilities:
  • Process Release of Information requests, including client access requests and disclosures to authorized third parties (e.g., school boards, lawyers, insurance providers, and healthcare partners);
  • Scan, index, and upload clinical documentation into the client Electronic Health Record (EHR) and maintain paper-based records as required;
  • Retrieve, prepare, and organize records for scanning in accordance with established procedures;
  • Investigate and follow up on incomplete or misidentified reports or information;
  • Maintain the integrity, accuracy, and confidentiality of client health records by adhering to organizational policies, procedures, and legislation;
  • Perform data entry, validation and coding in accordance with departmental standards and established workflows;
  • Manage discharged, inactive, archived and surplus client records in compliance with retention schedules;
  • Process portal requests and enrollments, ensuring timely access to health information;
  • Provide guidance and support to staff across the organization regarding health records processes, documentation standards, and records management best practices;
  • Participate in quality assurance activities and contribute to the continuous improvement of health records processes and services
Qualifications:
  • Graduate of a recognized Health Information Management (HIM) program with a minimum of two (2) years experience in a health care environment
  • Active member in good standing with the Canadian Health Information Management Association (CHIMA)
  • Knowledge of the Personal Health Information Protection Act (PHIPA), health information privacy principles, and confidentiality requirements
  • Experience working with Electronic Health Records (EHR’s); experience with MEDITECH Expanse is considered an asset
  • Demonstrated proficiency in data entry and electronic documentation with a high degree of accuracy
  • Proficient in the use of computer applications including MS Office Suite, Outlook, Microsoft Teams, and healthcare information systems and web-based applications
  • Excellent verbal and written communication skills
  • Strong interpersonal, organizational, critical thinking and problem-solving abilities
  • Demonstrated ability to work independently and effectively with minimal supervision
  • Strong customer service skills with the ability to respond professionally to internal and external stakeholders
  • Working knowledge of medical terminology
  • Bilingualism (English and French) is considered an asset
  • Flexibility to work until 6:00 p.m., as required
