Position Summary:
Reporting to the Director of Facilities, the Facilities Administrative Assistant provides administrative and operational support to ensure efficient, and effective day-to-day functioning across all sites. The role coordinates facilities requests, work orders, space use, vendors, and procurement activities, while supporting the sites, and monitoring and supporting facilities security access. This position contributes to a well‑maintained, organized, and responsive facilities environment.
Key Responsibilities:
- Review incoming work orders; approve or decline as appropriate; clarify staff requests to provide clear direction and notes to Facilities Technicians to support timely completion
- Follow up with meeting room setup requests to ensure the room is booked appropriately, capacity limits are met as well as working with housekeeping company to clarify questions they have around room setups
- Communicate with the housekeeping company, monitor access badges, and follow up with on-site concerns and cleaning needs
- Monitor and assist with staff relocations and moves including phone extensions, program related room movement, space utilization, housekeeping and trades
- Coordinate with the Purchasing department to support site procurement needs
- Support site specific telephone, extension, and network services alongside Helpdesk to ensure they are always operational
- Ensure printer toners are available, printers are in working condition and submitting service requests for printer related issues
- Active member of Joint Health and Safety and Infection Prevention and Control committees
- Report to Health and Safety Specialist about general housekeeping concerns, conduct workplace inspections and submit follow up tasks and documentation
- College Diploma or Undergraduate Degree in a relevant field and/or five years equivalent combination of education, training and experience
- Knowledgeable of Health & Safety legislation, H&S certification preferred
- First Aid & CPR certification preferred
- Experience working within a fast-paced facilities environment
- The ability to work independently and in a collaborative environment.
- Superior communication skills (written and verbal)
- Exceptional time management and problem-solving skills to perform tasks with minimal supervision, and within required deadlines
- Excellent computer skills with proven proficiency in Microsoft 365 and experience using Meditech MM module a definite asset
- Bilingualism in French and English is an asset
